How to Submit a Proposal to the GRCA Annual Member Meeting!

If any of the member camps/organizations, committees, departments, or the GRCA Board want to propose a change to how we organize and/or our organizational structure* to the general membership of GRCA, those proposals need to be submitted to, presented at, and voted on at the Annual Member Meeting (AMM). In order to make sure all members are informed about and understand the proposal, as well as have time to share the proposal and decide on how to vote within their organization, proposals to the AMM are to be submitted according to the this procedure.

*Decisions that need to be made through a vote by all members are things that are fundamental to the organization, which include the changing of bylaws, mission statement, articles of incorporation, the name of the organization, and any other decision that significantly would change the operations of the organization.

Here is an example of how a proposal that follows this process could look like.

Proposals to the 2018 Annual Member Meeting (AMM) are to be submitted to the GRCA Executive Committee (exec-com@girlsrockcampalliance.org) in writing by April 7th, 2018 (3 weeks before the AMM).

Two weeks before the AMM, April 14th, 2018, the proposals will be published with a comment or a counter proposal from the Board. This will be e-mailed out to the Member Representatives and published on the GRCA website.

After the proposals have been published, member camps/organizations, committees, and departments have until April 21st, 2018 (one week before the AMM) to comment or leave a counter proposal.

Any comments or counter proposals from member camp, committees, and departments are published on April 25th, 2018.

THE FOLLOWING INFO WILL BE ADDED TO THE PROPOSAL (BY THE GRCA BOARD) BEFORE IT GETS SENT OUT TO THE MEMBER CAMPS:

Process: The Board will state what the process will look like for the proposal to be implemented if it passes (according to bylaws and other regulations).

Comment from the Board: The board will share its thoughts on the proposal.

AFTER THE PROPOSAL HAS BEEN SENT OUT, THE MEMBER CAMPS/ORGANIZATIONS HAVE SPACE TO COMMENT OR LEAVE A COUNTER PROPOSAL

Other comments:

All member camps/organizations, committees, or departments have until April 21st to share their thoughts about the proposal, which will be shared with the membership on April 23rd.

The Annual Member Meeting of GRCA follows a standing agenda. At “11. Any other business,” any proposal that has followed the process is presented. Both original proposal and any comments or counter proposals are presented and voted upon.
